Developers lose money between the sales gallery and accounts

Real estate developers spend heavily on portals and ads, yet leads are often copied into Excel, assigned by phone and lost when a salesperson leaves. Channel partners claim the same buyer, booking forms are filled on paper, and demand letters for construction-linked payment plans are prepared manually each time a slab is cast. Buyers call the CRM team repeatedly to ask what they owe and how far the tower has progressed.

RERA changed the stakes. Projects must be registered, quarterly progress has to be uploaded to state RERA portals, and a fixed share of buyer collections must sit in a separate project account. Agreements, stamp duty and registration are moving online in many states, and the DPDP Act now applies to the buyer data that sales teams collect so freely.

Nexzem builds real estate transformation around the unit, not the lead. A unit's journey from inventory to booking, agreement, collections, possession and maintenance is tracked in one system, with sales, CRM, finance and site teams each working their part. For commercial portfolios we extend the same model to leases, rent rolls and CAM billing.

Real estate transformation in practice

  • Detail A

    Sales CRM for a developer

A residential developer captures every lead from portals, ads and walk-ins automatically, assigns them to salespeople by project, tracks follow-ups and site visits, and sees which marketing sources produce actual bookings.

  • Detail B

    Channel partner portal

Brokers register leads, check attribution, track bookings and see commission status in a portal, reducing disputes with the developer and making it easier to reward the partners who bring the most buyers.

  • Detail C

    Automated collections

Construction milestones trigger demand letters for affected buyers, payment links and reminders go out automatically, receipts are issued instantly and finance sees collections against demands project by project every morning.

  • Detail D

    Buyer self-service portal

Buyers check payment schedules, download receipts and documents, see construction photos and raise requests online, reducing calls to customer service and building trust throughout the long construction period until possession.

Digital Transformation for Real Estate, in depth

Sheet N-01, general notes

Where legacy systems hold real estate businesses back

Real estate developers and brokers often run sales on spreadsheets, scattered CRM tools and WhatsApp groups, with inventory tracked separately by the sales office and finance. Leads from portals and ads are lost or followed up late, units are occasionally offered to two buyers, and collections rely on manual demand letters and reminders. Post-sales teams answer the same buyer questions about payments and progress again and again.

Compliance adds pressure: RERA registration details, quarterly progress updates and separate project accounts require organized data that manual processes struggle to produce. Our real estate industry page covers the systems developers typically connect, and our custom CRM software solution addresses lead management directly. Transformation starts with getting every lead, unit and payment into connected systems, so sales, finance and customer service work from the same information.

A phased real estate transformation roadmap

The first phase is usually a sales CRM with automatic lead capture, source attribution and follow-up workflows, connected to live unit inventory so sales teams never double sell. A channel partner portal follows, giving brokers transparency on leads, bookings and commissions. Collections automation then links construction milestones to demand letters, reminders and receipts.

Later phases add a buyer self-service portal, possession and snag management and, for commercial portfolios, leasing and facility operations. RERA requirements, consent for marketing communication and personal data protection under the DPDP Act shape each phase; this is general information, not legal advice.

Measuring real estate transformation progress

Measure the sales funnel and the post-sales experience. Lead response time, conversion from enquiry to site visit to booking, cost per booking by source, collection efficiency against demand, and buyer calls to customer service are practical indicators that show where digital tools are working and where gaps remain. Review these numbers weekly with sales leadership and monthly with finance and customer service. Clear attribution also improves marketing spend, since budgets can move toward the sources that actually produce bookings.

Real estate transformation FAQs

Something else on your mind? Ask a consultant and get a reply within one business day.

We already use a CRM. Do we need to replace it?

Not necessarily. If your CRM handles leads well, we integrate it with inventory, collections and the buyer portal. Replacement makes sense only when it cannot model units, payment plans or partners properly.

Can the system handle multiple projects across states?

Yes. Projects, phases, towers and units are modelled separately, with state-specific RERA rules and document templates configured per project.

What drives the cost of a real estate transformation?

Cost depends on the number of projects and units, modules in scope, integrations with accounting and portals, and whether leasing operations are included. A fixed quote follows a free consultation.

How long does a rollout take?

Sales CRM and partner portal for one launch usually go live in 8-12 weeks. Collections, buyer portal and handover modules follow over the next phases.

Is buyer data protected?

We apply role-based access, encryption and consent records for marketing, aligned with the DPDP Act, and restrict exports so lead lists cannot be downloaded freely.

How do you prevent double booking of units?

Unit inventory lives in one system that sales, channel partners and the booking process all use. When a unit is held or booked, it becomes unavailable everywhere immediately, with time-limited holds that release automatically if bookings are not completed.

Can the system support projects across several states?

Yes. Projects can have state-specific RERA details, tax rules, payment plans and document templates, while management sees consolidated sales, collections and inventory across all projects and companies in the group, with permissions controlling who sees what.

We work with clients across the USA, UK, Australia, UAE, New Zealand and India.
