Why speed to lead matters

When someone fills an enquiry form or clicks an ad, their interest is highest in the first minutes. They may be comparing several businesses, and the first one to call often gets the conversation. Yet many teams call leads hours or days later, after the lead has already spoken to a competitor or lost interest. Sales teams are busy, enquiries arrive in bursts after campaigns and many come in at night or on weekends.

What the agent should and should not do

The agent's job is to confirm interest, gather the information your sales team needs and route the lead, not to close a complex sale. Keep it focused:

  • Introduce the business and that it is a virtual assistant calling about the enquiry
  • Confirm the person made the enquiry and is happy to talk now
  • Ask a small number of qualifying questions
  • Answer common questions from approved information
  • Book a meeting or transfer hot leads to a salesperson
  • Leave negotiation, custom pricing and sensitive discussions to people

Writing the script

A voice script is not a form read aloud. People answer in their own words, interrupt and ask questions back. Write the conversation as a goal-driven flow: the information to collect, the order to collect it in and what to do with each kind of answer. Keep questions short and natural, and allow the caller to answer several at once without being asked again.

Start with a warm, honest opening, such as the business name, that the assistant is calling about the enquiry the person made and a request for a couple of minutes. If the person is busy, the agent should offer a callback time instead of pushing on.

Choosing qualifying questions

Ask only what changes what happens next. For most businesses that is three to five questions, adapted to the product:

  • Need: what are they looking for, in their own words
  • Timing: when do they want to buy, visit or start
  • Budget range or plan, where relevant and appropriate
  • Location or service area, if you only serve certain places
  • Decision: are they deciding alone or with others

Scoring and routing

Turn the answers into a simple score or category, such as hot, warm and not ready, using rules your sales team agrees with. Hot leads might be transferred immediately during working hours or booked into the next available slot. Warm leads get a scheduled follow-up. Leads that are not a fit get a polite close and, if they agree, information by message.

Write the outcome, answers and a short summary back to your CRM automatically, so salespeople see the context before they call and nobody asks the customer the same questions twice.

The warm handoff

The moment of transfer decides whether automation helps or hurts. When the agent transfers a call, the salesperson should receive the caller's name, what they want and their answers before or as they pick up. The agent can tell the caller it is connecting them to a specialist. If no one is available, it should say so honestly and book a callback rather than leaving the caller on hold.

Agree service levels with the sales team: how quickly hot leads must be picked up, and what happens outside working hours.

Handling objections and difficult moments

Prepare the agent for common responses: not interested, already bought elsewhere, call me later, how did you get my number and is this a robot. Each needs a short, honest reply. When asked, the agent should confirm it is an automated assistant and offer to connect to a person. If someone asks not to be called again, the agent must accept it immediately and the number must be marked as do-not-call in your systems.

Compliance basics in India

Calling rules matter as much as the script. In India, commercial calls are governed by the Telecom Regulatory Authority of India's regulations on unsolicited commercial communication, which cover customer preferences registered through the Do Not Disturb (DND) system, consent and the use of designated number series for promotional and service calls. These rules have been tightened in recent years, so confirm current requirements with your telephony provider before launching outbound campaigns.

Call people who enquired or otherwise consented, keep a record of that consent, respect calling hours and tell callers when calls are recorded. Personal data collected on calls falls under the Digital Personal Data Protection Act 2023. This is general information, not legal advice.

Measuring results

Track how quickly leads are called after enquiry, how many are reached, how many qualify, how many are transferred or booked and, most importantly, how many become customers compared with leads handled the old way. Listen to a sample of calls every week. Recordings and transcripts show where callers get confused, which questions they resist and where the script needs work.
